One platform for a three-day conference.

The Water & Wastewater Regional Conference of Texas, hosted by the City of Eagle Pass Water Works System, now runs registration, sponsor booths, payments, attendance and reporting in one system built and managed by Nexar Studio.

Before

  • A basic WordPress site, mostly informational.
  • The floor plan was an image. Staff edited it by hand and uploaded it again after each sale.
  • Sponsors paid through WooCommerce, then contacted the host to choose a booth, in the order payments arrived.
  • A sponsor looking at the plan could not tell whether a booth was still available.
  • Payments were recorded in a separate module from the rest of the event.
  • Class attendance for TCEQ credit hours was tracked with a small separate app and Google Forms.

A floor plan that is always current

Sponsors choose a booth on a plan that updates in real time. Starting checkout holds the booth for ten minutes, and everyone else sees it as held. If checkout isn't completed, the booth is released.

Payments and finance together

Payments run through Stripe, and the finance module matches every transaction.

Attendance and credits

Session attendance is recorded in the same system, with rules for TCEQ credit hours.

Self-service for sponsors and attendees

Each organization manages its own purchase: assigning or reassigning badges and downloading its sponsorship letter.

An app on the home screen

The site installs on an iPhone or Android phone, with the agenda in real time and messages from the organizers.

Ready for next year

Closing one edition opens the next and carries over its setup. Sign-in is protected with multi-factor authentication.

What staff manage

The administration area, as the host's staff see it. Text, titles and photos on the public site are edited here and appear immediately. Names and totals in these screenshots are replaced with sample data.

Results so far

The platform is live and processing real registrations and booth payments for the February 2027 conference. Measured results will be added after the event.
